When a custom system is worth it, and when it isn't

The most common mistake we see isn't under-investing in software, it's over-building. A business with a straightforward sales pipeline doesn't need a custom CRM; it needs to actually use the off-the-shelf one it already pays for.

Custom software earns its cost when your workflow genuinely doesn't fit standard tools, when you're paying growing per-seat fees for functionality you could own outright, or when your process touches compliance or data requirements that generic platforms weren't built around.

Before recommending a custom build, we ask three questions: is the workaround costing more in lost time than the build would cost, will the workaround still work at double your current volume, and does an off-the-shelf tool actually exist that fits, even imperfectly?

If the honest answer points toward custom, the next decision is scope. We push clients toward a focused first version that proves the core workflow, not a five-module platform on day one.
